Position Description:
Seattle Public Utilities (SPU) is seeking a long-term temporary Record Analyst - Management Systems Analyst Assistant for its Workspace & Records Management Section. This position will report to the Capital Projects Coordinator. The term of this temporary assignment is for up to 35 months. Desired start date is mid-to-late January, 2016.Job Responsibilities:
Duties and responsibilities include, but are not limited to:- Establish a working relationship with the City Clerk's Records Management Program staff for the purpose of orientation and partnership with performing job duties.
- Provide technical assistance to SPU's lines of business partners in evaluating records for disposition and arranging for their storage, and/or destruction. Examples of records include, but not limited to, invoices and contracts, employee training files, SPU customer billing files.
- Inventory and assess field office sites to determine recordkeeping needs and evaluate records for disposition and arrange for their storage, and/or destruction.
- Develop a consistent process for managing tasks, tracking deliverables, and keeping the Capital Projects Coordinator informed with regular and timely status updates.
- Using SPU's retention schedule, review files of separated employees to determine the appropriate disposition of documents – retention or destruction; physically box up records to be retained, preparation of transmittal documents, and scheduling of pickup by warehouse.
- Clearly communicate in writing to SPU business partners regarding the status of work performed for their line of business.
- Draft records management related web content as needed for posting to the internal website.
Qualifications:
Required Qualifications:- Two years of coursework in business or public administration, finance, computer science or related field, in business administration or related field
Licenses and Other Requirements:
- Valid State Driver's License or equivalent mobility. A complete WA State Drivers Record will be required for review from the selected applicant.
- The successful applicant will be required to pass a criminal history background check as a condition of employment.
Additional Information:
Desired Qualifications:- Prefer two years of records management experience, preferably in the public sector. Skilled in handling multiple tasks with ease and accuracy.
- Completion of a Records Management Certificate Program highly desirable.
- Ability to maintain focus, demonstrate flexibility and discretion in a fast-paced environment.
- Strong customer service skills; excellent time management and organization skills; and the ability to communicate with a diverse customer base, handling potentially sensitive situations in a tactful manner.
- Ability to make connections between seemingly disparate information to anticipate needed action.
- Proficient in Microsoft Outlook, Excel, and Word.
