team. We are looking for a smart and skilled individual to provide program
administrative services. This position will support our Records Management
Programs, partnering with the program managers, and in-house attorneys, to
ensure optimal results. Day-to-day duties will center on legal new hire
training and orientation, problem shooting, creating and updating operating
procedures, file retrieval and analysis (in paper and electronic format), and
general records management in a legal setting. The Program Assistant will also
assist in identifying and implementing process improvements.
The successful candidate will possess the ability to work
efficiently and independently; learn quickly; manage high volumes of tasks and
projects with little guidance; react with appropriate urgency to situations and
events that require a quick response or turnaround; take effective action
without having to know the total picture; think creatively, strategically, and
critically; and be proactive in solving problems that affect people within the
group or other related groups. The candidate will also be client-service
oriented, have great attention to detail while still meeting tight deadlines,
have great organization and communication skills, and have the ability to
easily switch gears. A high level of professionalism, integrity, and discretion
in handling confidential information, as well as the ability to work well with
people at all levels inside and outside the company, is essential.
Basic qualifications
•BA/BS degree
•3+ years’ experience as a program or administrative
assistant with direct customer service experience Knowledge of Microsoft
Outlook, Word and Excel is essential, and general comfort with learning new
programs and software is a must
•Strong written and oral communication skills and the desire
and aptitude for learning new concepts on the job
•File room and both electronic and physical filing
experience in an office environment (medical, academic, etc.)
•Able to lift and carry boxes weighing up to 50 pounds
Preferred qualifications
•Background in records management, knowledge management,
corporate and legal archives or library science
•Knowledge of Microsoft SharePoint, editing Wiki entries
•Strong written and oral communication skills and attention
to detail are a must, as is the desire and aptitude for learning new concepts,
programs, and software on the job
•File room experience in a legal setting
•Project management experience
