Records Clerk

Position Title: Records Clerk

Hiring Manager:  Cydney C. Hill, Records Program Mgr.
Supervision provided by:  Records Analysts

Brief Job Purpose: The position is responsible for processing physical files and working with related automated indexing systems.
Brief Description of Duties:

             Receive and process physical files (hardcopy, drawings,
microfiche/film, CDs, DVDs, floppy disks). This includes identification,
reorganization and re-indexing due to inadequate or erroneous
documentation. Prepare boxes of records for offsite storage.

             Utilize current computer applications, available databases and
indexing systems to retrieve and record information.

             Create and update database records with file indexing
information; maintain data integrity, historical accuracy, and effective
retrieval and tracking. 

             Coordinate with assigned Records Analyst on matters relating to
records policies and procedures; Identify vital and historical records;
perform records disposition process according to the Port’s records
retention schedules and Records Program procedures; communicate
updates or changes to the assigned Records Analyst. 

Demonstrated skills:  Strong initiative, resourcefulness, and problem
solving knowledge and skills; knowledge of planning, organizing, and
prioritizing work. 

Working knowledge of:  Records management standards, practices, and
procedures. 

Experience:  Experience equivalent to three to five years’ records
management, librarianship or other experience utilizing general,
fundamental concepts and procedures of records management, or the
equivalent combination of education and relevant experience. 

Professional Requirements: Maintain confidentiality of information and
comply with legal and regulatory requirements; work under limited
supervision. 

Working Conditions:  Work with documents that may be dusty or moldy;
lift or move many archive boxes weighing up to 50 pounds; crouch, crawl,
bend or kneel when working with records boxes. Work behaviors must
adhere to the Port’s safety standards.
