RECORDS PROGRAM MANAGER - Seattle


Position:  Iron Mountain

 I.    Job Summary – Under the direction and with approval of the customer, the Records Program Manager will support the customer’s RIM program team. 

The Program Manager is responsible for supporting activities and tasks related to the development and execution of the records management program.  The program manager will provide records management expertise, as well as hands-on tasks which support and assist the customer in continuing to advance their information management capabilities.  The program manager will be expected to contribute to the development of existing program projects, as well as make and document suggestions for improvement. 

The scope of this position requires hands-on experience and expertise in the following records management activities:  implement and enforce records retention policies and procedures, recommend improvements as appropriate, provide periodic reporting.  Responsible for overall leadership of customer on-site program.  Ensures schedules are met.  Ensures system resources are used effectively.  Responsible for the effective management of personnel.  Accountable for the quality and timely delivery of contractual items.  Leads program including task identification, project design, development and execution.  Maintains close liaison with the customer.

This position works closely with Iron Mountain On-Site Professional Services and Field Operations management to plan, coordinate and execute the implementation of on-site programs and service offerings.

II.     Essential/Key Areas of Responsibility


1)      Collaborates with customer on strategic plan for records and information management program using best practice methodologies to support and achieve long-range organizational goals

2)      Directs program to realize the records and information management vision through strategic and business planning

3)      Communicates with key stakeholders to proactively ensure organizational understanding of the interrelationship of records and business processes

4)      Provides expertise and advice to the organization to maintain compliance and promote efficiencies through the use of the RIM program

5)      Collaborates with stakeholders by developing a communication and outreach strategy to achieve awareness and integration of the RIM program.

6)      Develops project plans and utilizes reporting tools to measure quality and compliance to program requirements

7)      Serves as a liaison with IM Operations to ensure that proper resources are available along with troubleshooting through operational issues as they arise

8)      Partners with records vendors

9)      Evaluates and recommends solutions to information management application/problems

10)   Uses knowledge to make workflow recommendation and develop alternative solutions

11)   Interfaces with customer and coordinates and manages workflows

12)   Leads, mentors, cross trains and provides accountable standards and measures to the department employees
13)   Supports activities and tasks related to RIM program administration
a)      Assists in the design of records programs by relating business processes and legal and operational issues to records management requirements

b)      Supports and assists in ongoing development and promotion of policies and best practices
c)       Evaluates, assesses, and recommends appropriate media and practices for RIM program
14)   Supports regular review and assessment of the RIM program

a)      Reviews, monitors, and provides metrics that measure the productivity and performance of the RIM program

b)      Develops reports to communicate information

c)       Interprets data to improve process management, makes decisions, and justifies/validates program to upper management.

15)   Assists in developing RIM system specifications by utilizing best practices, assessing business needs, and clearly documenting requirements.

III.    Educational & Experience Requirements

·         Bachelor’s degree (or equivalent) with specialized course work in records management, business law, business management, and 4 years of experience in a records management environment

·         Experience with hands-on management of employees within a service industry

·         Understanding of automated systems and applications
