The Opportunity: The Records and Information Services (RIS) Office of the Risk Management and Legal Services Division at the Washington State Department of Transportation (WSDOT) is searching for a Records Management Supervisor to join their team in their Olympia, WA. office.
In this unique role, the incumbent will manage, administer and oversee the agency's Records Management Program functions, including file plans, retention schedules, records storage, imaging services and historical records. In addition, this position will have rule-making (WAC) coordination, policy, manual and forms and historical records. Supervising staff, assisting the RIS manager, managing program operation, maintaining policies and procedures and developing strategies for support services department-wide are just a few of the responsibilities. WSDOT is the steward of a multimodal transportation system and responsible for ensuring that people and goods move safely and efficiently. In addition to building, maintaining, and operating the state highway system consisting of over 18,000 lane miles and 3,600 bridge structures, WSDOT is responsible for the largest ferry system in the nation; owns three Talgo train sets in the Amtrak Cascades fleet; and works in partnership with others to maintain and improve local roads, railroads and airports, as well as to support alternatives to driving, such as public transportation, bicycles and pedestrian programs. This position will perform the following work:
- Supervise, mentor and coach employees.
- Provide expert advice and guidance to staff regarding interpretation and application of laws and rules regarding public records.
- Provide support on implementation of Records Management Program.
- Interpret and advise agency staff on records retention schedule.
- Provide consultation and technical assistance to business units with file planning.
- Assist with developing and providing records management, retention and public disclosure training to staff throughout the state.
- Manage WSDOT rulemaking function.
An ideal candidate for this position will have:
- Advanced management skills; strong technical skills; the ability to make tactical and strategic decisions; the ability to manage personnel; and have proven experience in developing effective working relationships with others at all levels.
- Exceptional consultation, mediation and problem solving skills.
- Advanced working knowledge of records management principles, methods, policies and terminology.
- Prior knowledge of storage, inventory, retention and disposition of all types of department records.
- Prior training experience in one-on-one and group settings.
- Knowledge of State and federal statutes, rules, regulations and practices governing records management and release of public records is preferred.
- Excellent communication, planning and organization skills.
- Ability to travel statewide with occasional overnight stays
- Valid driver's license.
